Create saved messages for everything from a warm welcome to driving directions.
If you’re feeling a dose of déjà vu whenever you open a message from a guest, you’re not alone. There are some topics hosts are asked about again and again, such as exceptions for pets, wifi codes, directions, best places to eat, and more. Well, there’s an Airbnb template feature that can help: saved messages.
“I love [saved messages] and use them all the time,” says host Sally of Snoqualmie, Washington. “Templates save me a lot of time—I was able to answer four guest inquiries in less than 10 minutes! [They also] prevent me from forgetting some key bit of information, and allow me the time to create a well-crafted response—one that has been well-proofread, is crystal clear, and, if appropriate, is especially sensitive to our guest's needs.”
Here’s a step-by-step guide on how to use the saved messages feature, along with some great responses Sally and other hosts always have on hand.
How do I create scheduled messages and send them to guests automatically?
To save time as a host and ensure guests always know how to check in and out and use your amenities, you can schedule messages to automatically send based on triggers like a new reservation, check-in, or check-out.
The templates can be personalized with shortcodes, which are placeholders you can choose that automatically fill in guest, reservation, and listing details. You can access shortcodes through a drop-down menu when you compose a message. You’ll also have to add the corresponding information for each shortcode to your listing’s details, or else the shortcode will display as unavailable in the message.

Top hosts share their most popular scheduled messages that you can use, too.
n our conversations with hosts over the past few months, we've heard feedback that messaging with guests can be tedious—you’re often stuck drafting the same notes over and over. Many experienced hosts have been using the quick replies feature (formerly known as saved messages) to save themselves from repetitive tasks and ensure that their messages to guests stay consistent.
Now, to help simplify your hosting routine even more, we’re launching a brand-new scheduled messages tool. This tool allows you to schedule messages to automatically send when guests take actions like booking, checking in, or checking out. The best part is that you have control of all your scheduled messages, so you can customize, skip, or send them early—and get a full history of what’s been sent. You can even add variables, called shortcodes, to your messages that automatically fill in details like the guest’s name, check-in date and instructions, directions and wifi codes from your listing details, and more. Learn how to set up a scheduled message, or check out suggestions below to get started and provide more consistent communication for your guests. And please use the “Give feedback” link in the left sidebar of your inbox to let us know what you think of this feature and how we can improve.
